Part one · Modules 01 to 03

Learn to talk to it.

The field guide, expanded. What changed, how to give instructions a machine can follow, and how to pick the right AI for the job. No jargon, and nothing you need a developer for.

  1. Why the word "AI" gets in the way. Think of it as a sharp new hire who reads fast and never sleeps.
  2. What it is good at. Drafting, sorting, summarising, answering questions about your own records.
  3. What it is bad at. Anything it has to guess, anything legal or binding, anything you have not checked.
  4. The one rule. Let it draft, you decide. A person always holds the send button.

Run it this week

Take your last five job enquiries, whatever form they came in. Paste each one into any AI app on your phone with this instruction, then check it against the original.

Turn this into a job ticket: customer name, phone, address, what they need, how urgent, and anything I should ask before I call.

  1. Context first. Who you are, who the customer is, what good looks like.
  2. Show, do not describe. Paste your best email or proposal and ask for that shape.
  3. Ask for the format. A list, a text under 300 characters, a table, three options.
  4. Fix it in one line. "Shorter." "Warmer." "Less salesy." Iterate instead of starting over.

Run it this week

Find the best customer email you have ever sent. Save it. Next time you write one, paste it in first.

Here is an email I wrote that worked. Write the next one in the same voice for this customer: [paste notes]. Under 120 words. No exclamation marks.

  1. Not all AI is the same. Fast and cheap for sorting, most capable for proposals and drafting.
  2. Model routing. Each job in SayDoo runs on the model that fits it. How to read and change it.
  3. Your account, your key. Why SayDoo runs on AI in your name, and what it costs a month.
  4. Keep it safe. What to paste, what never to paste, and where your data goes.

Run it this week

Open Settings in SayDoo and look at model routing. Ask the same question on the fastest model and the most capable one. Note which answer you would actually send.

Which proposals over $5,000 have had no reply in 14 days, oldest first?

Part two · Modules 04 to 08

Run the five plays inside SayDoo.

The five plays from the field guide, done for real on your own console with your own customers. Each module is a workflow you will run every week.

  1. Say it once. Describe a new job to the SayDoo assistant and let it draft the contact and job for you to check.
  2. From contact to job. The pipeline, job stages, and moving work along.
  3. From job to schedule. Putting it on the board and on the crew's phone.
  4. From job to paper. Estimate, work order and invoice without retyping.

Run it this week

Start your next three jobs by describing them to the assistant. Count how many fields you never had to type.

New job: Sarah Mills, 336 555 0142, 18 Oak Ridge Rd, leak over the kitchen, wants someone Thursday.

AssistantContactsPipelineSchedule
  1. The inbox. Every email and website lead in one place, tied to the contact.
  2. Drafted replies. SayDoo drafts, you read, you send.
  3. The two questions. Building your standard replies around what you always ask anyway.
  4. Follow-ups that do not forget. Sequences that start switched off, then preview, then live.

Run it this week

Write down the two or three questions you always ask a new customer. Turn them into one drafted reply and use it on every lead for a week.

Draft a reply to this lead. Thank them, ask [question 1] and [question 2], and offer two times this week. Under 80 words.

  1. The owner dashboard. What it shows and what to look at first.
  2. Questions, not reports. Asking SayDoo what you used to export to a spreadsheet for.
  3. Job costing. Which jobs made money and which only kept you busy.
  4. Lead sources. Where your best work actually comes from.

Run it this week

Ask ten questions you have always wanted answered. Write down every answer that surprised you.

Which lead source brought in the most closed revenue in the last 12 months, and what was the average job size from each?

Owner dashboardJob costingLead sources
  1. Your template, from your best proposal. Keep your structure, not that customer's details.
  2. Site notes to draft. Paste your notes from the walk and let SayDoo turn them into a proposal.
  3. Price book and estimating. Lines that price themselves the way you price.
  4. Change orders and getting paid. Signed, sent and paid without chasing.

Run it this week

Upload the best proposal you ever sent and ask for the skeleton. Then write up your next site walk in plain notes and turn them into a draft.

Here are my site walk notes. Draft a proposal using my template: scope, what is included, what is not, price, timeline.

  1. Exceptions, not everything. The five things that cost the most if you hear about them late.
  2. Setting up your brief. What it watches and when it arrives.
  3. Tasks and up next. Turning the brief into today's list for you and the team.
  4. Cutting the noise. Trimming anything that turns out not to matter.

Run it this week

Write down the five things that would hurt most if you learned about them a week late. Set your brief to watch those five only. After a week, cut anything that was noise.

Every morning, tell me: quiet proposals over $5,000, jobs behind schedule, unpaid invoices over 30 days, new leads with no reply, and anything due today.

Part three · Modules 09 to 12

Run the whole shop on it.

Automations you can trust, your crew, customers and vendors on one system, the tools that plug into SayDoo, and how to keep building it yourself.

  1. Off, preview, live. Why every automation starts switched off.
  2. Your first automation. A follow-up on quiet proposals, built step by step.
  3. Weather alerts. National Weather Service and NOAA feeds that tell you which customers are in the storm path.
  4. Your own agents. Giving an agent its own instructions, model and the tools it is allowed to use.

Run it this week

Build one automation and leave it in preview for a full week. Read everything it would have sent. Switch it to live only when you would have sent every one.

  1. Team and roles. Who sees what, and the activity log that shows who did what.
  2. The crew app. Schedule, job details and photos from the field.
  3. The customer portal. Job status, documents and paying online.
  4. Vendors. Orders, work orders and shared documents.

Run it this week

Put one crew lead on the crew app and one customer on the portal. Ask both what they would change. Bring the answers to the live call.

  4. Marketing. Email campaigns, and connecting a MailerLite list.
  5. Any AI, anywhere. Using SayDoo with the AI apps on your phone, and connecting outside tools to your console.

  4. Your next 90 days. One plan for what to build next, made with you on a live call.
